What's Included:

  • The venue rental is from 10:00am - 12:00 midnight (14 hours) on the date of your event. The venue is located on a private and quiet setting, set back 700+ft from the paved road with ample parking. We only do one event per day and are family owned and operated, so you can rest assured you'll get the highest level of service and attention to detail one expects from an owner rather than an employee!

  • We offer 6,000sf of climate-controlled space in the event barn and cottages and can accommodate groups up to 300 people and still have plenty of room for dancing!

  • Outdoor ceremony site with 11' tall rustic cedar arbor and vintage aisle entry doors overlooking our stunning 2 acre pond!

  • We provide 45 - 6' rectangular tables and 250 - white garden chairs. We also have additional decorative tables of varying shapes and sizes for gifts, guest book, cake, beverages, etc.

  • 3,300sf flagstone wrap-around covered patio with wrought iron tables/seating for 20 people.

  • Use of assorted items including: shepherds hooks, large easels, cedar slabs and slices for centerpieces, s'mores bar, etc. There's also plenty of room for you to bring your own lawn games!

  • Built-in 12' long L-shaped live-edge wood/stone bar inside the event barn and live-edge wood ledges for decorating along the west side windows.

  • Bluetooth compatible 800 watt sound system with portable speakers and microphone.

  • HD video projector with built-in movie screen (screen is hidden behind sliding barn doors!)

  • Elegant rustic interior lighting and decor, with hand-textured and glazed walls, custom chandeliers, voile sheer ceiling drapes and multiple strands of lights suspended from the event barn beams, under the covered patios and all around the exterior - all of which create a wonderfully romantic atmosphere!

  • Separate bride and groom lounges.

  • A 1 hour wedding rehearsal, by appointment, the week before your event.

  • Access to the venue for engagement and bridal portraits prior to your event. Our most requested equine model Betty is also available for engagement, bridal and weddings photos with you and your guests!

Packages:

We can customize a full-service package for you (venue, DJ, catering, cake, flowers, etc.) based on your budget and guest count!

Payment:

A $1,000 down payment reserves your date and payment plans are available for the balance. Payment may be made via cash, check or credit card.

Available Discounts:

If the bride or groom is active or reserve military or a military veteran, a full-time paid law enforcement officer, full-time paid firefighter, or full-time paid teacher, we are pleased to offer a 5% discount. We also offer a 5% discount if your event is paid in full at the time of booking.

 

Vendor Policy:

We are open vendor, so you are welcome to bring your own food or use the caterer of your choice! We do have lots of great recommendations though and can assist with hiring additional wait staff, bartenders, etc.

Alcohol Policy:

You are able to independently purchase and bring alcohol to serve to your guests. All alcoholic beverages must be served by our preferred TABC certified bartender(s) at the flat rate of $175 per bartender for your event. That includes all prep work, cleanup of the bar area, and is paid directly to the bartender(s) on the day of your event.

Miscellaneous:

A $500 refundable security/damage deposit is due 2 weeks prior to your event. Our security officer must be present at all events starting 30 minutes prior to the start of the event and until the event is over. The rate is $40/hr (1 officer) for up to 150 guests and $80/hr (2 officers) from 150-300 guests, with a 4 hr minimum and is paid directly to the officer(s) on the day of your event.

 

Event liability insurance is also required with proof of coverage due 2 weeks prior to your event. Event liability insurance can be purchased online (Wedsafe.com is most commonly used) for approximately $175.

Lodging:

There are multiple options for lodging within a short distance from Bellavita Farms (10-30min) including major chain hotels in Sherman (Uber too!) and Gainesville, as well as Winstar World Casino in Thackerville. There are also several local Air BNBs available for those with larger families!
